At Dot Tech, we value our clients and strive to provide transparent and fair service. Our refund policy ensures clarity on how payments are managed throughout the project. By engaging with us, clients agree to the terms of this policy, which are included in our signed agreements.
1. Free Consultation
- We offer a complimentary consultation to understand the client’s needs, discuss project details, and outline a potential roadmap. This consultation is free of charge and helps define the project scope before any payment is required.
2. Milestone-Based Payments
- After the initial consultation, we issue an invoice based on the agreed project scope and milestones. Payments are broken into milestone installments, with each milestone tied to specific deliverables.
- Each milestone payment is due before the work on that phase begins, ensuring commitment to the project’s progress. This allows both parties to remain aligned and assures clients they are only paying for approved work.
3. Approval Process and Milestone Completion
- Upon completing each milestone, we seek formal approval from the client. Once a milestone is approved, the corresponding payment is released and considered non-refundable.
- This approval process ensures that clients have ample opportunity to review work at each stage and request adjustments as needed, fostering a collaborative and satisfactory outcome.
4. Refund Eligibility
- Before Work Begins on a Milestone: If a client decides to cancel the project before work begins on a milestone, they may be eligible for a refund of any payments for that specific milestone, minus any administrative or setup fees as outlined in the agreement.
- After Work Has Begun on a Milestone: Once work on a milestone has commenced and the client has approved previous milestones, payments for the current milestone are generally non-refundable, as resources, time, and effort have been allocated to the project.
5. Exceptional Circumstances
- In the rare event that Dot Tech is unable to complete the project due to unforeseen circumstances on our end, we will provide a refund for any incomplete milestones, ensuring fair compensation for the work done.
6. Modifications and Adjustments
- Our agreements cover the project’s initial scope, and changes may impact milestones and payment structure. If a client requests significant changes to the project scope after starting, additional fees may apply, and refunds will not be issued for work already completed under the original agreement.
7. Dispute Resolution
- In the event of a disagreement regarding deliverables, we encourage open communication and will work diligently to resolve any concerns. Should any disputes arise, we follow the dispute resolution process outlined in the initial agreement.
